Can the office trace this amount back to the stay?

An invoice is easier to check when its figures come from the booking it belongs to. Berth Manager creates booking invoices using the quoted line items and tax, keeping the billed amount connected to the reservation rather than asking the team to retype it.

The invoice workspace gives the office a list of documents, balances and statuses. Complete the marina's registered business name, tax identifier and branding before issuing documents, then review the guest and booking details for the invoice you are creating.

In the workspace

From setup to daily use.

  1. 01

    Prepare the issuer details

Save the marina's legal business name, tax or VAT identifier where applicable, logo and invoice footer in Settings.

  2. 02

    Choose the booking

Select a reservation that has not already been invoiced. Generate the document from its stored quote and inspect the resulting invoice.

  3. 03

    Follow the balance

Review the invoice number, issue date, due date, amount owing and status. Open the guest-facing document when you need to inspect or share it.

Worked example / a three-night booking invoice

Follow the amount from the quote to the document.

An invoice should let the guest and the office understand the same stay. Start with the booking's saved charges, check the issuer and recipient details, and then review the balance separately from payment settlement.

The setup notebook

Ask the accounts team for

  • The registered issuer name, address and applicable tax identifier.
  • The invoice footer and payment instructions they want reviewed.
  • A clear process for recording payments, credits and voids.
  • The local document requirements that must be checked before issuing invoices.

The printable view can be saved with the browser's PDF function. Local invoicing rules and accounting reconciliation still need the marina's own review.

Product capabilities

What the booking invoice workspace manages.

Turn confirmed or completed stay quotes into numbered, branded invoice records without retyping guest details or tax calculations.

Issuer profile

Registered business identity, VAT ID and branding

Configure your marina's legal company name, business address, tax or VAT registration number, logo, accent colour and footer notes in Settings before issuing documents.

Quote-linked creation

One-click invoice generation from stored bookings

Select an uninvoiced reservation to populate line items, stay dates, berth code, vessel details and tax directly from the booking's saved quote without manual re-entry.

Balance tracking

Document lifecycle, partial payments and credits

Follow each document through draft, open, partially paid, paid, overdue and void statuses while tracking recorded payments, credit notes and remaining balance due.

Marina administration

Issue consistent documents from verified quotes

Harbour reception

Answer guest billing questions at check-out

Look up any invoice by number, guest name or booking reference, check whether a balance remains owing and provide a printable copy on the spot.

Visiting boat owner & charterer

Receive an itemised document matching the stay quote

Review a clear invoice showing the marina's legal issuer details, vessel name, berth code, stay dates, net charges, tax rate and paid or remaining balance.

Keep the document and the payment record straight

Quoted tax and charges

Booking invoice calculations use the saved quote so the document follows the price associated with the reservation. Review your tax setup with the people responsible for the marina's accounts.

Document status

Draft, open, partially paid, paid, overdue and void states help the office follow its invoice records. The amount owing also accounts for recorded payments and credits.

Brand and business identity

The invoice uses the marina's configured issuer details. A logo and colour do not replace a registered business name or the information required in your jurisdiction.

This is booking invoicing, not a promise of accounting-system integration, automatic utility metering, statutory e-invoicing compliance or recurring annual contract billing.

See the places behind the plan.

Open the Santa Eulalia marina profile, select a mapped place and compare the aerial reference with the cartographic, blueprint and illustrated views. The 3D view uses the same saved place identities and positions.

Mapped places help you understand the marina. Contact the operator for confirmed vessel limits, availability and rates. Buildings and heights in 3D are illustrative.

Before you start

A few practical questions.

Is an invoice marked paid the same as a bank payout?

No. An invoice records a balance and document status. Payment processing and settlement are separate records, and bank payouts follow the payment provider's arrangements.

Can I generate a second invoice for the same booking by accident?

The booking invoice workflow identifies reservations already invoiced and protects the booking-to-invoice association. Refresh the list if an interrupted request leaves the result unclear.

What business details appear on a generated marina invoice?

Each invoice displays your configured legal business name, address, tax or VAT registration number, contact details, optional logo, invoice number, issue and due dates, guest details and itemised booking charges.

Can I print or save an invoice as a PDF for a visiting skipper?

Yes. Every generated invoice has a dedicated printable document view designed for clean browser printing and saving to PDF.
