Daily marina operations / Berth Manager

Marina operations software for the next shift.

The next person on shift needs the berth, the booking and the arrival details. Bring those records together, with the marina's operating information close at hand.

What does the next shift need to know?

An arrival can touch several parts of the office: the reservation, vessel dimensions, available berth, guest contact and local instructions. Marina operations software is useful when the team can find those details without reconstructing the stay from separate records.

Berth Manager connects the owner dashboard, booking desk, mapped inventory and marina profile. Organization access lets colleagues work with the marinas they are authorized to manage, and the active marina selector keeps the workspace focused on the right location.

In the workspace

From setup to daily use.

  1. 01

    Prepare the operating profile

Record the marina time zone, VHF channel where used, office hours, local check-in and check-out times, arrival instructions and emergency arrangements.

  2. 02

    Review the day

Use booking dates and statuses alongside the berth inventory. Open the relevant guest and vessel record when preparing an arrival or following up a reservation.

  3. 03

    Keep the records current

Update berth status and maintenance restrictions, correct the published operating information and give colleagues appropriate organization access.

Worked example / the afternoon office changeover

Make the next arrival easy to hand over.

The next watch should be able to find the expected vessel, assigned berth and contact record without guessing which harbour or which date the previous colleague was viewing. Use the saved records as the basis of the briefing.

A practical daily marina operations example
The stepWhat to doWhat to check
Before arrivalOpen the correct marina and review the booking dates, vessel dimensions, berth code and status.Confirm the space is operationally ready; a reservation record cannot observe a blocked finger or a repair on the quay.
Crew contactCheck the guest record alongside the marina's current VHF, office hours and local arrival instructions.Use the marina's normal communication channels for mooring assistance and urgent changes.
HandoverCheck outstanding booking and invoice matters and update any berth or operating information that has changed.Keep payment status, berth readiness and guest communications separate enough that the next colleague understands each one.

The setup notebook

Keep this operating information current

  • The local time zone, office opening times and check-in window.
  • VHF and approach instructions confirmed by the operator.
  • A named process for maintenance restrictions and berth readiness.
  • Appropriate team access and the correct active marina for each shift.

The workflow connects records for the briefing. It does not replace a radio, incident log or the harbourmaster's judgment about the conditions on the waterfront.

Product capabilities

Practical tools for daily harbour coordination.

Keep arrival instructions, berth availability, booking records and multi-marina team access in one shared operational view.

Harbour briefing

VHF channel, approach notes and check-in hours

Publish practical arrival instructions including VHF working channel, harbour office hours, check-in and check-out times, landmark approach notes and local mooring rules.

Shift handover

Shared arrival list and berth allocation view

Give the incoming watch a single view of today's expected arrivals, assigned berth codes, vessel dimensions, skipper phone numbers and outstanding payment statuses.

Maintenance control

Immediate berth hold and maintenance status

Place a berth under maintenance or occupied status from the dashboard or Studio when dredging, finger repairs or resident movements change availability.

Organization access

Multi-marina selector and authorized team accounts

Manage multiple harbours under one organization account and switch active marinas cleanly so dock staff and managers always edit the right location.

Connected roles

Built for the people running the waterfront.

From the morning dock briefing to late-evening arrivals, everyone works from the same harbour profile and reservation list.

Harbourmaster & watch leader

Coordinate daily arrivals and berth readiness

Check expected arrivals, confirm that assigned berths are clear and within vessel limits, and block spaces affected by maintenance before guests arrive.

Dock hands & reception

Share consistent arrival and mooring instructions

Reference the same VHF channel, check-in times, gate or shore-power notes and emergency contacts that visiting crews see on their booking confirmation.

Multi-site marina operator

Switch between harbours without mixing records

Use organization access and the active marina selector to review occupancy, bookings, pricing and team access across each waterfront location.

An operating record with the right context

For the dock office

Connect berth codes and positions with the reservations that use them. Review vessel limits before allocation and keep spaces under maintenance out of the guest offer.

For the arriving crew

Publish specific instructions: where to report, how to request mooring assistance, relevant access restrictions and the marina's rules. Owner-entered information should be checked regularly.

For the manager

Review occupancy and booking value from the same inventory and reservation records. The revenue view distinguishes pending booking value from collected online payments.

The workspace is not a VHF replacement, a navigation service or a unified email inbox. Keep urgent harbour communications and official navigation information in their appropriate channels.

Explore a saved layout

See the places behind the plan.

Open the Santa Eulalia marina profile, select a mapped place and compare the aerial reference with the cartographic, blueprint and illustrated views. The 3D view uses the same saved place identities and positions.

Mapped places help you understand the marina. Contact the operator for confirmed vessel limits, availability and rates. Buildings and heights in 3D are illustrative.

Before you start

A few practical questions.

Can a team work across more than one marina?

An organization can provide access to multiple marinas. Authorized users choose the active marina in the dashboard so the inventory, bookings and settings refer to the intended location.

Does entering a cancellation policy automate refunds?

No. Policy text informs guests. Cancellation and refund processing follow the booking and payment workflow; writing a policy does not create a new automatic financial rule.

What operating details can we publish for visiting skippers?

You can publish your marina's time zone, VHF channel, office hours, check-in and check-out windows, approach and mooring instructions, emergency procedures, fuel dock hours and cancellation terms.

How do we prevent staff from editing the wrong marina in a multi-harbour group?

The dashboard header includes an explicit active marina selector scoped to the user's organization permissions, ensuring that Studio maps, berths, bookings and settings always load for the selected harbour.
